Useful to include
- What you track today: jobs, orders, stock, equipment, tickets or something else
- Where it lives now: a spreadsheet, a whiteboard, a paper binder, a group chat, or an app you've outgrown
- Who touches it: office staff, crews in the field, a warehouse person, the owner on a phone at night
- The questions you can't answer quickly, such as "what's overdue" or "what do we need to reorder"
- Software it should talk to, such as your accounting package, calendar or online store
- A sample of the current sheet or form, with real customer details removed
