What a job tracker holds
At its core, a job tracker is a list of jobs with a status each. The value is in what hangs off each job: the customer and site address, the crew or person assigned, the dates, the photos, the notes from the last visit, and the parts or hours that went into it. When all of that sits on one record, anyone in the office can answer a customer's call without going to look for someone.
The board view on top of those records is the part people use all day. Each column is a stage you name yourself, such as quoted, scheduled, on site and to invoice. Moving a card is one tap. Cards that are late or waiting on something get a flag, so problems show up before the customer calls about them.
Screens most trackers need
| Screen | Who uses it | What it does |
|---|---|---|
| Board | Office and owner | Every open job by stage, with flags for late or stuck work |
| Job record | Everyone | Customer, address, dates, notes, photos, parts and hours |
| My jobs | Crews and techs | Today's work on a phone, with directions and a button to mark progress |
| Calendar | Scheduler | Who is where each day, so double bookings are easy to catch |
| Closed jobs | Office | Finished work ready to invoice, and a searchable archive |
Updates from the field
The tracker only stays accurate if the people doing the work can update it in seconds. Field screens get big buttons, short forms and photo upload straight from the phone camera. If signal is patchy where your crews work, we can let the phone save updates and send them once it reconnects.
Rules you set
- Which stages a job moves through, and who's allowed to move it
- What counts as late for each stage, and who gets told about it
- Which fields are required before a job can close, such as photos or a signature
- What customers see, if you want to send them a status link
Questions
Can the tracker send texts or emails to customers?
Yes, through a messaging or email service you sign up for. Common uses are a booking confirmation, an on-the-way note and a link to the finished job photos.
Can it create invoices?
It can pass closed jobs to your accounting software if that software accepts outside data, which most popular packages do. We check yours during scoping.
